Bib. Level Hold : Overview and General Guideline

Scope

Provides an overview and general guideline for placing a Bibliographic Hold.

Content

General Process

  1. Make sure there is NO item record.
  2. Click on the "Bib level Hold" tab.
  3. Click on ADD PATRON.
  4. Select either Patron name or Patron barcode.
  5. Put in the name or barcode.
  6. Put in a PICKUP LOCATION (use the selector's location as the pickup location, i.e. if a selector from Dana requests a book use Dana as the pickup location regardless of where it classes. If the request is not from a selector use the location in the order record).
  7. Put in a NOT WANTED AFTER DATE (24 months from "today").
  8. If only 1 piece of a multi-volume set is requested, put that information into the Hold note field.

Access services will never use this procedure for RUSH requests, they will continue to use the "RUSH" requests policies in place. If the title is IN PROCESS Access service staff will place the bib-level hold and then email the Cataloging email box to request that a "green bib level hold" slip be placed into the piece.

Acquisitions will use this procedure when they have hold for requests and/or Rush orders from a selector. If at any time Acquisitions has a request for a Patron that is not in the system they will send the request back to the selector or Access services staff person who submitted the request for resolution. Acquisitions will not use bib level holds for hold for or rush requests for a class

Holds from Acquisitions

Cataloging will process these materials normally, making sure that the green bib-level hold slip remains with the item.

Holds requested for in-process items by selectors

When a hold is requested for an in-process item (not needed Rush), Cataloging staff will place a bib-level hold on the item and insert a green bib-level hold slip in the item.

Holds requested for in-process items by Access Services Staff

When a hold is requested for an in-process item (not needed Rush), Cataloging staff will insert a green bib-level hold slip in the item.

Rush requests for in-process materials already in backlog

No hold on the piece already (i.e., no green bib-level hold slip)

Cataloging staff will use a regular fuchsia slip with the patron's name on it (no bib-level hold should be placed, since an item record is being created at the time of Rush processing).

Bib-level hold already on the item (has green bib-level hold slip)

Cataloging staff will look up the bib-level hold, and check the patron's name.

  • If patron requesting Rush processing is the same as the patron with the bib-level hold, Cataloging will convert the green bib-level hold slip to a fuchsia bib-level hold slip and process the item.
  • If the two names are different, Cataloging will add a regular fuchsia Rush slip with the second patron's name written on it, and process the item, with both a regular fuchsia Rush slip and a green bib-level hold slip.

Process these materials normally, making sure that the green bib-level hold slip remains with the item.

EXCEPTION If the location of the piece is Non-circulating, cataloger needs to cancel the bib-level hold, this will generate an email message to the patron to seek assistance at an Access Services area.

Replacements with bib-level holds

If it is a TO REPLACE, then process as normal.

If it is a STRAIGHT REPLACE, then do the following:

  1. Remove the Bib Level hold.
  2. Add a green slip to the item with the patrons name on it.
  3. Process replacement as normal.
