When Labels Processing Fails

Staff ONLY Spine Label Printing

Only Use if Labels file “failed” in the overnight process.

Occasionally the automatic process that prepares a file of labels for printing in catmet will fail overnight. The result is that either there is no labels file at all, or the labels file that's available is a duplicate of the last set of labels that ran successfully (one or more days earlier). This page details how to fix the problem. Some parts of the process can be done in Sierra by cataloging staff, others need to be done by someone in DLTG who has command line access to the servers.

  1. (CatMet) Check if review file ran correctly.
    • If the dates on the records in review file #195 look correct, the review file ran correctly. Skip to step 3 below.

    • If the dates on the records in review file #195 are from that previous run of labels, go on to step 2.

  2. (CatMet) Run create lists (in Sierra)
    • In Sierra, go to Create Lists. Open review file #195 records (usually there are 50 -150 labels).

    • Hit "Search Records"

    • Hit "Retrieve Saved Query"

    • Choose the query called "Save endlabelrule" and hit the "Select" button

    • Now the review file query should be populated. Lines 3, 5 and 6 of the query contain dates to search against. These dates correspond to the day that the items to be labelled were cataloged. Typically, if you're trying to fix a run of labels from this morning, the date that you see in the query should be replaced with the date of the last working day in CatMet before today (e.g., yesterday, or last Friday if today is Monday, etc). Replace the date in all three places, paying careful attention that you use the same format that the dates appear in. The date format in line 3 is different from the format used in line 5 and 6.

    • Enter a "Review File Name" of your choice.

    • Hit search, and wait until the review file status changes from "in progress" to "complete."

  3. (CatMet) Export labels file (in Sierra)
    • Change the Sierra function to "Data Exchange."

    • Next to "Select Process," choose "Output MARC Records using FTS (out)."

    • Near the top right of the Sierra window, click the button for "Create C."

    • Next to "Output file," enter the word labels.

    • Use the pulldown menu that shows "Range." Change that to "Review." A pulldown menu of the available review files appears. Select the one that you created.

    • Click "Start." The review file you pulled will have its marc data output onto disk on the catalog server.

    • Notify DLTG staff that the labels file didn't run and the new file is ready to run. (dltg@cloud.dartmouth.edu)

  4. (DLTG) Rename labels file on server (at the command line on sierra-app)
    • Log into sierra-app.dartmouth.edu.

    • Rename the file /iiidb/marc/labels.out to /iiidb/marc/labels.mrc

    • Log out.

  5. (CatMet) follow procedures below.
