 Welcome to Dartmouth College. As a benefits eligible employee, Dartmouth offers you and your family a comprehensive package of benefits to choose from; including three different medical plans, a dental plan, life insurance for you and your family members, disability insurance, and a number of other tax and money saving options.

 

NEW EMPLOYEE ORIENTATION (NEO)

 As an employee new to Dartmouth College, attendance at New Employee Orientation is an important part of your introduction to Dartmouth. During this session, you will receive information about your health, retirement and other benefits (including a 1.5 hour session on health and welfare benefits and retirement benefits with time for a Q&A with the group), employee resources, wellness, vacation and personal time, and you will hear presentations from a variety of campus partners about Dartmouth policies and programs. You will also have the opportunity to join us for lunch, obtain your employee ID, and take a library tour.

ELIGIBILITY

WHO IS ELIGIBLE

  • Employees who are regularly scheduled to work at least half of the normal full schedule, at least nine months each year.
  • Regular Benefits Eligible employees working less than full time receive pro-rated benefits according to their percentage of working full time.
  • Temporary employees and regular employees working less than half time are not eligible for benefits.

The amount that you pay in premiums is affected by the amount of hours you work as well as the amount of annual salary received. This is important to know when you are considering a change in hours or full time equivalency (FTE).

WHEN BENEFITS BEGIN

Benefits start on your date of hire, or date of mid-year qualifying life status event. If you incur expenses prior to enrolling, simply ask your provider to have the bill mailed to you, and once the card is received call the providers office with your ID card information and ask them to resubmit the claim.

PLAN YEAR

Dartmouth's benefits run on a calendar plan year, from January 1st through December 31st. Some benefits are prorated based on your start date or benefits eligibility date.

BENEFIT CATEGORIES

Your employment category determines what benefits you are eligible for. Contact your Supervisor if you are unsure of which category you fall in to.

  • Exempt – Includes Faculty (visiting or tenure track), Research Staff (Research Associate C, Research Scientist, Research Analyst and Research Engineers) and Exempt Staff (salaried staff). These employees are exempt from over-time pay, according to the Fair Labor Standards Act.
  • Non-Exempt – Refers to employees who are paid by the hour and are not exempt from over-time pay, according to the Fair Labor Standards Act. This includes Non-Exempt Staff, Non Union Service Staff and IATSE Union members. This does not include SEIU members.
  • SEIU – Refers to Dartmouth employees who are members of the Service Employees International Union. SEIU employees are paid by the hour and are not exempt from over-time pay, according to the Fair Labor Standards Act.
  • Research Associate B (RAB) – Refers to grant or college funded employees (other than those on certain kinds of training grants) with an appointment of greater than nine (9) months and less than three (3) years. RAB's are exempt from over-time pay according to the Fair Labor Standards Act.
  • Research Fellow – A post-doctoral trainee on a NRSA or T32 training grant with an appointment of at least nine (9) months and less than three (3) years. Research Fellows are exempt from over-time pay, according to the Fair Labor Standards Act. These employees are paid with non-taxable wages.


ENROLLMENT & CHANGES

ENROLL IN BENEFITS

Dartmouth College uses an online benefits enrollment system called FlexOnline. New hires and Newly eligible employees have 45 days from their date of hire/eligibility to log in to the FlexOnline system and enroll in their benefits, or they will be defaulted into a generic benefits package, and will be charged for these benefits. To enroll in benefits, you will want to log into FlexOnline by using your Net ID and password. Hint, this is the same ID (Dart ID) and password that you use to log into your Dartmouth email.

WHEN YOU CAN MAKE CHANGES TO YOUR PLANS

Once you have made your annual enrollment, whether as a new hire, or during open enrollment, you may not make changes to most of your benefits until the following plan year. The exception to this, is when you have a mid-year life status change. This can be a marriage, a divorce, a birth or adoption of a child, or any time you or a dependent looses or gains coverage. A spouse's open enrollment period is also considered a qualifyied life status change. It is important to know that you must submit a qualified mid-year life status change event through the FlexOnline system no more than 30 days after the date of the event. WHAT IF I DO NOT LOG-IN TO FLEXONLINE?

If you forget to log into FlexOnline within the 45 day enrollment period, or if you do not log in to FlexOnline because you do not need coverage:

  • You will be defaulted into individual coverage on the Cigna Choice Fund medical plan and other benefits as defined by your employment category.
  • If you do not want/need coverage, you must log-in and select "WAIVE COVERAGE" otherwise you will default into the Cigna Choice Fund plan.  If later you lose medical coverage, you may qualify for a life status change event.
  • You will be responsible for any costs you are defaulted into.

NEW HIRE PACKET

All newhires will receive a New Hire packet when you arrive at New Employee Orientation.  If you do not attend your packet will be sent to your HINMAN Box.  This packet contains a copy of the New Employee Guide and various Retirement Plan information. 

BENEFITS WEBSITE
From the front page of the Benefits Website, you can access additional pages of information about each of Dartmouth's individual Benefit Programs such as medical and dental insurance, life and disability insurance, retirement plans, etc.  Also, be sure to take note of the "Other Benefits" section for additional information on benefits like the Infertility and Adoption programs, Faculty and Staff Loans, Paid Time Off, The Wellness at Dartmouth program and more.

ASK ALEX
Ask ALEX is an online tool that employees may use to assist with your medical plan decision making process.  Alex does not provide a guaranteed "Best" option, but simply allows you to try out various scenarios based on how you might use your medical plan, to see which of the three health plans would be most cost effective for each scenario.  You can access the Ask ALEX tool at http://dartgo.org/AskALEX.

MEDICAL PLAN COST ESTIMATOR
The Medical Plan Cost Estimator is an online tool that you may use at any time to determine your medical plan rates. 
Use the tool:

  • As a New Hire, a Rehire or are newly benefits eligible
  • If you have a mid-year qualified life status event where you would be adding or removing dependents or
  • If you are making a change in the number of hours per week or months per year that you work.
