NIH Electronic Application Submission

NIH current schedule for MANDATORY electronic submission (e-submission) of applications is the following:

  • June 1, 2006
    Small Grant Programs (R03), Exploratory/Development Research Grant Awards (R21) & Clinical Trial Planning Grant Program (R34)
  • February 1, 2007
    Research Project Grant Program (R01)
The Office of Sponsored Projects (OSP) wants to help you prepare for this significant change in process, described below:

The NIH forms will be completely different from the forms used presently.  They're easier, but everything is in electronic format.  Narratives, such as research plans, must be provided as PDFs ("portable document files", created by Adobe Acrobat).

Applicants must upload all forms and files into PureEdge software (required for submission into www.Grants.gov, the portal for ALL federal funding) and send the PureEdge file to OSP.  OSP must still receive the proposal routing form with appropriate signatures before e-submission. 

WARNING: PureEdge software is not compatible with Apple/Macintosh operating systems: only Windows.  OSP is developing a Dartmouth Sponsored Research System (SRS), which does run on Macintosh and will allow submission of applications directly to Grants.gov without the use of PureEdge.  We expect that this direct submission feature of SRS will be implemented well before the February 1, 2007 deadline for R01 applications.  If you need assistance with PureEdge before this service is available, contact OSP and we will assist you in any way we can.

OSP will conduct the same review as always before approving and submitting the application in PureEdge through Grants.gov.

Grants.gov will perform a brief validation of the face page, requesting corrections when necessary, before forwarding the approved application to NIH.

NIH will perform a more extensive validation, requesting corrections when necessary.  The applicant must make the necessary corrections and resubmit the application before the due date or the application will be considered late.

Once NIH has approved the application, the applicant will have a two-business-day opportunity to check the appearance of the application at the NIH eRA (electronic Research Administration) Commons web site (https://commons.era.nih.gov/commons/) before it is automatically processed by the NIH.
It is important for the applicant to remain available to finalize the proposal during this two-business-day window after the e-submission.

As a result, OSP advises the following actions:

  1. Register with the NIH eRA Commons, if you are not already registered; the first step is to contact OSP by e-mail (sponsored.projects@dartmouth.edu)
  2. Complete your PI profile at the NIH eRA Commons and keep it up to date.  NIH will compare the information on your electronic applications to your stored profile and the information must match!  If necessary, delegate the task of updating your profile to a responsible staff member (accomplished through NIH eRA Commons).
  3. At the Grants.gov web site (www.grants.gov), identify your solicitation and download the related PureEdge application package.
  4. Plan ahead!  COMPLETE applications should be submitted to Grants.gov by OSP five (5) working day prior to any deadline, hence OSP must receive COMPLETE applications AT LEAST TEN WORKING (10) DAYS prior to any deadline.
