Minutes of the Council Meeting

2/18/2008

Opening: 7:06 P.M.

In-attendance: Chip Baldwin, Susan Bloomfield, Deb Cofell, Gregg Mandsager, Knick Moschella, Matt Peterson, Ken Shewmaker, Pastor Susan Thomas, Pastor Michael Thomas, Mary-Ella Zietz

Devotions

  1. Audience and Communication:

A. vEnessa Achem “Hannah House” Chairs

· Auction of Adirondack chairs: May 10 (20 chairs)

· OSLC’s own Christina Chek was one of the chair artists in 2007.

· vEnessa encourages council to allow one of the chairs to be on display at OSLC throughout April.

· Tickets for the May event are $30, which allows entrance to the auction and an exquisite meal catered by the Hanover Inn.

· Social Ministry supports Hannah House.

· Approval of displaying a Hannah House chair at OSLC during April moved, seconded, and unanimously approved.

B. Review of Church Constitution Chapter 12 and by-laws by Ken Shewmaker

· Council confirmed that the Treasurer needn’t attend Council meetings and that the Council should some day pursue a by-law clarification so that the Treasurer obviously needn’t attend council meetings. However, in practice and precedent, the Treasurer often has not attended Council meetings over the years.

· Council should also clarify how the Treasurer is officially selected, nominated, or appointed.

· The Treasurer is an officer of the congregation but not an officer of the council. This allows her to sign documents but does not de facto place her on the Council’s Executive Committee.

· If the Treasurer chooses to vote on Council decisions, she is entitled to vote.

C. Election of Officers of Council (President presides)

    • Note: Council appreciates Gisela Jones’s continued work as Financial Secretary.
  1. Approval of Minutes

1/14/08 (unanimously approved)

1/27/08 (review of annual meeting minutes)

· Council asks that Laura Zimmerman would invite Evelyn Johnson to report on Calumet and involved OSLC youth at the next annual meeting.

· Discussion ensued.

· Council informally approves these minutes to be posted after appropriate corrections have been made. The minutes will be informally approved at the next annual meeting.

  1. Discussion and/or Action Items

A. Council Goals/OSLC Mission “What are we all about?”

· To be considered after the new members have reviewed Dale Penny’s written proposal for OSLC in 2008.

· Executive Council wants to continue to meet with the pastors throughout the year.

  1. Reports and Council Comments

A. Space-Use Task Force

· In the Building Use Guidelines, the task force proposes that Council approve a rewording of the Guidelines: that Council needn’t review every single-use property request, but that Council still have oversight via reports on extended property use (“extended”: 60-90 days).

Action: These changes moves, seconded, and approved.

· The task-force will take on the multi-year project of ensuring there is a consistent filing and archival system for the church’s minutes.

· Laura Zimmerman is developing an on-line calendar for property use.

· Susan Bloomfield inquired where OSLC is in its defibrillator considerations. Chip will follow up with Karen Geiling on this.

B. Art and Design

· The committee is still concerned about Cana Hall pipes.

· A&D would like to replace the carpet in the room adjoining Cana Hall.

· A&D asks permission to seek funds for recarpeting and Cana Hall pipe covering, both non-budgeted item, both of which would exceed the budgeted $700.

· Council wonders if the carpet is perhaps a property issue.

· Council will further consider this request at its next meeting.

C. Property

Action: Council approves the unbudgeted release of $3300 from the general fund to repair the Crèche door.

D. Pastors’ Report (see attached)

· Laura Zimmerman continues to be a good fit, and the Pastors are glad to have her.

· Laura is working on the census forms.

· Pr. Michael invites the Council’s participation in the Safe Church workshop and this Sunday’s Cana Hall Conversation.

· More to come on moving from three to four unrelated persons living in the Parsonage. Barry Schuster continues to work on this.

· Sunday School ends on 5/18.

· Move to summer schedule on 5/25, Memorial Day weekend.

E. Evangelism – Ken Shewmaker

· Following the annual meeting, the committee gained a new member and a new consultant.

· Liese is busy updating the church directory.

F. Congregational Life – Deb Cofell

· Seven new members

· Establishing a Lenten coordinator of week

· Easter Breakfast sign-ups are coming.

· Last weekend’s Kitchen cleaning had eight participants.

· Game night on 4/4

· Foyers is coming. Cindy Baldwin, the new Foyers Coordinator, along with Pastor Michael, is exploring how to accommodate families at OSLC so that there is a large space for “family” Foyers groups.

· 5/18 blessing of the BBQs

· 6/1 High school and Dartmouth graduation coffee hour

· Congregational Life took over coffee hour and is trying a new approach: coordinator of month—Deb Cofell, Jill Erickson, and Deb Beaupre.

· Congregational Life wants each committee do one coffee hour during the year.

Financial Secretary’s and Treasurer’s Report (see attached)

· Reports will be submitted electronically in future.

· Report’s approval moved, seconded, and unanimously approved.
