Preservation Services: Project Review Checklist

The goal of Preservation Services staff is to provide preservation consulting and treatment in a timely manner to support project deadlines while at the same time protecting the original object.  Because it can take time to repair an item as soon as a collection has been identified for digitization Preservation Services should be notified so that the collection can be evaluated and prepared for digitization. These steps apply to both in-house or vendor provided digitization services.

1.  Contact Preservation Services for collection review.

2.  Conservator or Head of Preservation Services reviews the collection and recommends any conservation treatment which should be done prior to digitization and recommends scanning equipment based on the physical condition of the items in the collection.

3. The Conservator or Head of Preservation Services schedules conservation treatment noting any deadlines dictated by contracts, grants, or other circumstances.

4.  The Head of Preservation Services will review the vendor contract to include special handling instructions.

5.  The Conservator or Head of Preservation Services Preservation will arrange for training in care and handling of the original items.

6.  Once in-house digitization has begun Preservation Services is consulted as needed for assistance with delicate objects.

7.  Once the items have been digitized (either in-house or by vendor) items needing additional repair are forwarded to Preservation Services.
