URLs in Print Cataloging

Scope

These guidelines detail how to handle 856 fields when they are present in records for print materials. Acquisitions Services will be referring titles that fall out of the fastcat criteria to Cataloging and Metadata Services. Some URLs in print materials need to be evaluated.. Unacceptable URLs will be deleted.

FastCat

In FastCat, keep URLS (no need to test these URLs) in print records that have the following prefixes:

http://www.loc.gov/

Titles Referred from Acquisitions to Cataloging

Cataloging staff will evaluate the 856 field.

Test all URLs to determine what they access and if they function properly. All URLs should fall into one of the following four categories.

Acceptable URLs

Acceptable URLs access content that extends the value of the text. These include: errata; supplemental material; additional problems; appendices; tables of contents; publisher descriptions; author or performer biographies.

URLs that provide topical material that is directly relevant to the book are acceptable. If there are any doubts or questions, please ask your supervisor.

Delete the 007 if present. Do not delete the 007 if it describes other formats.

  • 007 - cr_____  delete 007s that begin with cr. 007s for other formats [i.e. accompanying CD-ROM] should be retained.

Unacceptable URLs

Unacceptable URLs access content that is indirectly related to the text or replicates data that is already in the MARC record. These include: companion sites; advertisements; indirectly related sites; reviews; portraits ; cover image.

If there are any doubts or questions, please ask your supervisor.

  1. Delete the entire 856 field.
  2. Delete other fields unique to remote electronic resources if present (007, 506, 538, etc.).

Full Text URLs

Full text URLs access an equivalent (complete) digital version of the text in hand.

Delete URLs that provide access to full text of the print resource. These are usually tagged 856 41. Ask a supervisor if there are any questions regarding whether the URL is acceptable.

These include URLs for the Springer series – "Lecture notes in …" (available through Springer Link) are unacceptable.

  1. Delete the entire 856 field.
  2. Delete other fields unique to remote electronic resources if present (007, 506, 538, etc.).
  3. Do not delete 530 notes (Additional Physical Form Available) when they refer to the full text remote resource. If no 530 is present, add one:

Broken URLs

Broken URLs produce error messages when accessed or access the wrong site.

  1. Delete the entire 856 field.
  2. Delete other fields unique to remote electronic resources if present (007, 506, 538, etc.), including 530 fields.
