Who can make reservations for an Enterprise-VOX vehicle?

All faculty, staff, and student drivers who intend to operate an Enterprise vehicle on College business must be named on the Approved Drivers list maintained by the Parking and Transportation Office, and must complete the Driver Safety Training Program. All Approved Drivers on College business will be insured by Enterprise. The Enterprise office in Hanover also serves members of the Dartmouth community who want to rent cars for their personal use. For personal use reservations, drivers are charged College rates, with insurance not included. The Enterprise office also rents vehicles to the general public.

What if someone makes a reservation, but is not an Approved Driver?

If the driver identified in the reservation confirmation statement is not an Approved Driver, the reservation will be cancelled and the driver notified via e-mail. The cancellation will be made by the Parking Office administrator, who receives reservation confirmation after reservations are made and checks the driver’s name against the most recent Approved Driver list.

How should reservations be made for Approved Drivers on College business?

If a vehicle rental is being booked as part of air and/or lodging travel, reservations may be booked through Travel Leaders. Travel Leaders will establish travel profiles which include billing information.   Students in this situation should coordinate with staff or faculty in the sponsoring departments to obtain billing information. 

If booking only a rental vehicle, a driver may make reservations through the Enterprise website directly, and enter a chart string, or a corporate travel card. A link to the Enterprise website is also available on the Enterprise-Vox Rental Program webpage.

What are the current vehicle rates?

The Enterprise rate structure is the same as the former VOX program. Mileage prices will be reviewed quarterly and adjusted based on market fluctuations. Rates are as follows:

How are vehicles refueled?

When picking up keys, drivers will be issued a gas card for fueling at any gas station accepting a Wright Express (WEX) fuel card.  The WEX card works like a credit card as it allows Enterprise to pay for and track fuel costs associated with a particular vehicle. The mileage rate indicated in the table above will be used to pass on the fuel cost to users. 

How are rental costs billed?

When a reservation is made, the payment method will be selected and a credit card or internal College chart string will be given to post rental and mileage charges. A monthly invoice with reservation details will be reviewed by the Parking Office administrator and the Administrative Finance Center and costs will be distributed to chart strings as appropriate. 

What are the hours and location of the new Enterprise office?

The Enterprise office is located at 25 Lebanon St., in Hanover, behind Kleen Drycleaners. This office is staffed Monday through Friday, from 8 a.m. to 5 p.m.  Those who plan to pick up a vehicle on Saturday or Sunday should indicate a reservation start date/time for Friday afternoon, and pick up the vehicle’s key and gas card before 5:00 p.m. on Friday. 

Where and who can pick up keys, and what verification is needed?

Keys may be picked up at the Enterprise office only by the driver on the reservation. Drivers must show a valid U.S. or international driver’s license and a Dartmouth ID. For vehicles rented on the weekend, keys should be picked up on the Friday before the weekend.

Where are the vehicles located?

Fourteen parking spaces behind the Lodge residence hall have been designated for rental vehicles. Spaces for vans and additional inventory are located at the back of the Dewey parking lot. Reservation confirmations should indicate where the vehicle should be picked up. 

Where are keys dropped off?

There are two key-drop locations: at the Enterprise office and at the Grounds building at the Dewey parking lot. When drivers receive a registration confirmation, they will be informed where vehicle and keys should be returned. 

Who is contacted in an emergency?

When picking up keys for vehicle rentals, drivers will be given contact information for emergencies. The information will state who to call for what purpose and describe the process used in an emergency, breakdown, and accident. In the case of an accident, the College’s Department of Safety and Security should be contacted to report the accident and any injuries. How will rentals be handled for departments that utilize large vans (12-passenger) for a long period of time? 

Currently, reservations for large vans can be made through the Enterprise website.  

Who can make reservations for vans?

All faculty, staff, and student drivers who intend to operate an Enterprise van must pass a van test. This test can be arranged through the Driver Safety Program, at 603-646-2340.

What if someone makes a reservation, but is not an Approved Driver?

If the driver identified in the reservation of a large van is not a van-approved driver, the reservation will be cancelled and the driver notified via e-mail. The cancellation will be made by the Parking Office administrator who will receive reservation confirmations immediately after reservations are made and check the driver’s name again the most recent van-approved driver list.
