Payroll Questions

Why do I complete Payroll Authorizations?

PAs are completed in order to establish a new employee, make changes to the payroll information of an existing employee, or terminate an existing employee.

The PA Smart Form is available on this website.

How far in advance should I complete a PA?

PAs should be completed by the division/department at least one week before the effective date or start date (in the case of a new hire). The finance center will assist you in finalizing the PA and request any additional information, if necessary. Submitting the PA at least a week before the effective date will allow for proper processing of system access, benefits authorization, and other payroll actions.

What information is required to complete the PA?

Providing complete information on the PA is essential to timely processing. The form will walk you through the required information depending on the type of action being performed. The finance center will follow up with you or the individual for any additional information.

To whom should I submit the PA form?

The PA Smart Form should be completed online and routed for approval as appropriate. Routing is built into the Smart Form.

How do I find out if the PA I requested has been processed?

The finance centers will try to process new hire PAs within one day of submission and other PAs within three days of submission. Contact your finance center to verify that a submitted PA has been completed.

Who should complete timesheets?

All hourly paid employees, staff, and students should complete timesheets in order to receive compensation for hours worked. There is no change to this policy.

Where do I obtain the timesheet form?

Timesheets may be obtained on the Dartmouth Payroll website.

When should I complete my timesheet?

Timesheets should be completed on a daily basis and submitted biweekly. There is no change to this policy.

What information is required to complete the timesheet?

As an employee, who do I submit the timesheet form to?

Submit the completed timesheet form to your supervisor.

How do I find out if my timesheet has been processed?

If you have questions on the status of your timesheet processing, contact your finance center.

How does timesheet processing work?

The finance center receives the completed timesheets from the departments. The finance center staff enters the timesheet information directly into the payroll system. If there are any questions about a timesheet, the finance center staff will contact the department.

How does timesheet processing work with electronic timesheets?

Those that use the Kronos timekeeping system will receive training on the use of that system and should follow the appropriate procedures.
