| To remove a value from a form change it to zero. Do not simply delete the number. |
If you delete a number from a form rather than setting it to zero, the value remains in the system and stays in your totals. The only safe way to delete a value is to change it to zero. |
| To run reports on the DeptBudg cube connect to the PLNASO cube (the reporting cube for DeptBudg). |
The DeptBudg cube is for data entry and the PLNASO cube is for reports. Make sure you connect to the right cube for the type of work you want to perform. |
| When adding a row to the DeptBudg cube make sure you specify both the Activity and SubActivity in the Activity field. |
In the DeptBudg cube, the Activity and SubActivity values have been concatenated. If you want to add a row to a form, you must concatenate the Activity and SubActivity strings and enter the value in the Activity field. You get an error message if you only specify the Activity string. |
| Save often, and use Refresh to "undo". |
Something as simple as an accidental double-click in the wrong place could make your form "refresh", and all unsaved changes are LOST! Think about how far you can go before your work would be difficult to re-create, and save when you reach that point; |
| Save sends your work to the server but it does not perform calculations. You must run the business rule on your org and refresh the form in order to update your totals. (The business rule is available only in DeptBudg.) |
The Business rule can take several minutes to run. As part of the nightly process, the business rule is run across all orgs so the calculations are right each morning. |
| Read warning messages carefully - similar messages have VERY different outcomes! |
One message basically says "Click OK to Save your changes" and another says "Click OK to Discard your changes". |
| You can work with multiple forms at the same time by opening multiple tabs. To open a second Planning tab, click the "Navigate" button and select either DeptBudg or CentBudg again. |
Be sure you Save, run the Business Rule, and Refresh often to keep the forms synched. Save and Refresh will affect only the form you're looking at, so when you Save one form, you will need to Refresh the others to see the changes take effect. Running the Business Rule will affect all forms in an Org, but you may not see the changes until you Refresh. Do not open multiple instances of Hyperion Planning. |
| Double-clicking in a data cell in the YearTotal column will give you an error message, to remind you that Supporting Detail must be entered in the Month ("zero-level") column. Clicking OK on this error message will cause your screen to refresh, and all unsaved changes to your data will be lost. |
To exit this error message without losing unchanged data on the main screen, do not click OK. Instead, click the X in the top right-hand corner to close the pop-up window. You will get a second error message that warns that "unsaved changes will be lost"; however, this warning refers to unsaved changes on the first error message window, not the main screen. Since there's nothing you could have changed on the error message screen, it's safe to click "OK" on this second pop-up. |
| When changing your "Point of View" line (Entity or Org), don't forget to click the "Go" button (or arrow). |
Data will not update until you click "Go". |
| If you know you need to have a new segment value created, send your request in as soon as possible. |
Don't wait until budgeting begins to get new segment values set up, or your process will be delayed. |
| Inactivity could cause a time-out, and unsaved data might be lost. Save your work if you're going to leave your desk. Log out at the end of the day. |
The timeout warning may allow you to save your work, but don't count on it. Also, be aware that the "timeout clock" is determined by how often you make contact with the server, so even if you're working with your data on the screen, you may timeout if you don't save, refresh, change forms, or change your "point of view." |
| Get the latest Segment Value Listing from IRA or Hyperion Reports for descriptions and hierarchies. |
The Planning Tool relies on you to know your strings and their hierarchies, and it doesn't always show you the description of a segment value. You can get these from IRA or Hyperion Reports. |
| Be sure you Log Out of the system when you're finished working with it. Don't click the X in the top right corner to close the application, until after you've logged out. |
The Log Out command tells the system to run background processes that clean up your data and terminate your session. If you close the application without logging out first, the session will not be terminated properly. This could cause system performance issues. |
| To exit the Add a Row form without adding a row, be sure you click the Cancel button. Don't click the X in the top right corner to close the form. |
Only one person at a time can use the Add a Row function on a particular form. When you have the form open, everyone else is locked out. If you close the form (using the X) instead of cancelling it, it will remain locked by you for the next two hours, even though it's not on your screen anymore. If this happens, you will be the only one who can reopen the form. You can unlock the form by reopening it and then clicking the Cancel button to exit properly. |
