Housekeeping Inspection Forms

Office of Greek Life Housekeeping Inspection Policy

    • All exits & walkways must be free of snow & ice

    • The exterior and all grounds must be free of litter by 8 AM everyday 

    • All exits, fire escapes & hallways must always have clear egress 24-7

    • Common areas & bathrooms must be clean

    • Basement must be clear of trash, cleaned and mopped

    • Basement cleaning- walls & ceilings have to be cleaned

Expectation level – High

If the Housekeeping Inspection Policy is violated the following sanctions will occur on a termly basis:

    • First offense: If an organization fails a Housekeeping Inspection, the organization will be notified by the Assistant Director of Residential Operations and receive a warning. A re-inspection will occur within a 72 hour period. It is an expectation that an organization pass the re-inspection. If the organization fails the re-inspection, a plan of action for keeping the house clean must be submitted to the Assistant Director of Residential Operations

    • Second offense: The organization will be assessed a $200.00 fine

    • Third and subsequent offenses: If the organization fails another Housekeeping Inspection during the term, the organization will automatically receive two weeks of social probation including no alcohol in the common areas

    • Office of Greek Life Housekeeping Inspection Process:

    • Housekeeping inspections will occur from 1:30 to 3:30 on Monday and Friday afternoons

    • The House Manager or a designated officer for the organization listed after each date should accompany the Assitant Director of Residential Operations on the inspections

    • Meet in the basement of North Mass at 1:30 PM

    • Each house manager will go out on two inspections per term

    • Each house will be inspected two or three times per term

    • It is mandatory that you attend inspections

    • It is your responsibility to find a substitute, or switch to another date if you have a conflict on the date you have been assigned

    • There is a $25 fine if you miss an inspection

Please note: These are not the times your house will be inspected, they are the times for you to attend inspections of other houses

 Fire Safety & Health Code Inspections

    • All private rooms must be clean and organized
    • All house manager closets must be clean and organized
    • All storage areas must be organized and have a 3 foot pathway through the area
    • Nothing may block the fire alarm panel or sprinkler check point
    • Nothing may hang on ANY sprinkler pipes
    • All broken windows must be repaired as soon as possible
    • All holes in any walls must be repaired as soon as possible
    • No combustible couches may be in common areas
    • Boiler/ sprinkler / utility rooms must be clean, clear and organized

Every room in the house will be inspected. Private houses need to make sure that the House Manager has a key to every door. College houses may lock the room doors

If the house fails the inspection, no social activities or events may take place over the upcoming Homecoming / Winter Carnival / Green Key etc. weekend, plus a $100 re-inspection fine will be levied

Items that result in a $100 fine:

    • Emergency backup lights must be working & exit signs lit

    • Fire extinguishers must be charged and not blocked

    • Candles

    • Incense

    • Space heaters (any style)

    • Microwaves in private rooms

    • Toaster ovens in private rooms

    • Hotplates in private rooms

    • 'George Foreman'-type grills in private rooms

    • Smoke detectors not plugged in or missing from ceiling. Room Smoke detectors must be plugged in & on the ceiling at all times

    • Fire Extinguisher false alarm $100 fine 

    • Illegal extension cord fines ( 2 Prong)*

*This fine may be reduced to $50 if the individual purchases a three-prong extension cord or a power-strip and brings the illegal cord to Bernard Haskell with a receipt for the new cord

If you have a Life Safety Code Violation you may not hold a Social Event.

Life Safety Code Violations include:

    • Damaged life safety equipment

    • Exit signs not working

    • Emergency backup lighting not working

    • Fire Doors not closing etc.

    • Holes in walls or ceilings

    • Exit stairs with ice or snow

Office of Greek Life Clean Grounds Policy 

    • Property must be free of ALL litter by 8:00 AM every day of the year

    • Grounds must be free of litter at all times

    • Trash cans may be on the lawns during an event only, and then removed when the event is over

    • Lawns must be kept neatly trimmed

    • All post-event clean up must be completed by 8:00 am the morning immediately following the event

If the Clean Grounds Policy is violated the following sanctions will occur on a termly basis:

    • First offense: If an organization fails Clean Grounds, the organization will be notified by the Assistant Director of Residential Operations and receive a warning.

    • A re-inspection will occur within a 72 hour period. It is an expectation that an organization pass the re-inspection.

    • If the organization fails the re-inspection, a plan of action for keeping the exterior of the house and the grounds clean must be submitted to the Assistant Director of Residential Operations

    • Second offense: The organization will be assessed a $200.00 fine

    • Third and subsequent offenses: If the organization fails another Housekeeping Inspection during the term, the organization will automatically receive two weeks of social probation including no alcohol in the common areas

  • Bulk Trash

    • Early in the term a bulk trash pickup is scheduled
    • At this time, all large articles such as furniture, building materials, and appliances will be removed
    • By designating a specific date for all houses, the cost of this service is reduced considerably  
    • If your organization is interested in Bulk Trash collection, please contact the Assistant Director of Residential Operations
  • Central Stores 

    • You can purchase light bulbs, toilet paper, paper towels, mops, brooms, snow shovels, cleaning supplies, batteries for emergency lights etc.
  • Egress Areas

    • Hallways, exits, exterior stairs and fire escapes must be free of obstruction at all times
    • No shoes or any other personal items may be left in hallways
    • Stairs & hallways need to be vacuumed regularly
  • Fire Drills

    • Dates here 6 PM to 10:00 PM
    • We will set off the alarm then check all exit doors, hallways, exit lights, strobes/horns, sprinkler systems, etc.
    • We will look in resident rooms that have Fire Exits through them. The basements need to be clean
    • Everyone must leave the house even when there is a false alarm!
    • There will be a $100 fine per person if you do not comply
  • False Alarms

    • Call the Hanover Fire Department on 603 643 3424 to let them know that it’s a false alarm, then leave the building
    • You are allowed three false alarms per year, after that the house will be fined $100 per event by the Town of Hanover
    • Privately owned houses may call Work Control on 603 646 2508 to have Fire Extinguishers refilled 
    • The use of foggers that results in alarm activation will result in a $100 fine
    • College owned house fireplaces are non-operable
  • Household Hazardous Waste

It is everyone's responsibility to manage these items safely and properly.

In an effort to keep your buildings clean, please do the following:

    • If a container has the words "corrosive", "flammable", "combustible" or “toxic/poison” this means that the material is hazardous and must NOT be disposed as regular trash

    • Recycle all batteries and fluorescent light bulbs

    • Always purchase non-mercury thermometers. If you can't tell, a mercury thermometer contains gray liquid

    • Always buy latex paint. If you have leftovers, if the paint is DRY, it can be disposed of in the regular trash. No LIQUID paint can be disposed into regular trash

    • Never buy more than you need. Larger quantities may be cheaper but it you don't use it all then you must dispose of it. Or it accumulates as clutter in your buildings

    • Never dispose of oil-based paints, thinners or motor oil in the regular trash or leave next to the dumpster. It is an environmental crime to leave this material for regular trash pick-up

    • When you hire outside contractors to do work in your buildings, ask them to take any unused materials with them

    • Purchase metal cabinets so that all materials can be housed in one location. If you have oil-based paints, special flammable storage cabinets are required. These are expensive. $500+

    • If you change the oil in your automobile, dispose of the oil at the Hanover Co-Op gas station to be recycled

    • If you do have household hazardous waste please notify the Assistant Director of Residential Operations to arrange disposal

  • Parking

    • The regulations for parking are stated in the Office of Greek Life handbook and violators risk being ticketed or towed
    • Specific areas of concern are parking on lawns and in front of dumpsters, at no time should cars be parked at either place
    • Please make sure that members are aware of the requirements so they can save themselves from costly problems
    • Please contact the Parking Operations office 603 646 2204 if you have any concerns or questions
    • A list of names of students who are parking at the property must be emailed to Parking Operations by the termly deadline
  • Trash Collection

    • Please contact Northeast Waste Services at 802-295-2660 if you have any concerns or questions about the trash collection service
    • At times, organizations experience problems with trash collection because of cars blocking the dumpster areas and driveways
    • Trash should be in clear bags
  • Work Order Process

    • College owned houses please email: ORL Operations and copy the Assistant Director of Residential Operations
    • Privately owned houses please call Facilities, Operations and Maintenance on 603 646 2508
    • After 4:30 PM or weekends please call the Dartmouth College Troubleshooter on 603 646 2344
  • ZERO SORT Green Bag Recycling

    • Leave out before noon every day for collection
    • Zero liquid should be in recycling bags
    • Recycling should be in green bags
