Department IT Support Offices

OmniUpdate's online documentation (documents, tutorials) provides help for users of its content management system. Please avail yourself of this information when consulting with users. Web Services also provides information for Web content creators and OmniUpdate Web editors to assist them in their site's support of proper Web communication standards, so please review these Best Practices.

Department IT support consultants will provide help on the following core functions in OmniUpdate:

Getting Started

  • Log in to OmniUpdate
  • Change user passwords or information after login

Creating Folders/Pages

  • Create pages/folders/section paths
  • Get out of the New Page drop-down menu

Editing Content

All Page Editing Functions (WYSIWYG Editor Tool bar)

  • Cut, copy, and paste (use Paste as Plain Text) functions
  • Find/replace functions
  • Undo/redo functions
  • Remove formatting function
  • Basic font properties (bold, italic) functions
  • Lists and indent functions (ordered lists), text script functions (superscript or subscript), alignment functions (left, center, right)
  • Styles pull-down menu: Assign styles to text
  • Format pull-down menu: Assign formatting to text
  • Images (basic information): Crop, resize, save, upload (where/how) images. Snipshot.com and picnik.com are two Web sites that make cropping, resizing, and saving images for the Web easy to do
  • Insert/edit images on a page (images with captions are put in a table)
  • Insert/edit links
  • Upload documents
  • Link to documents that aren't HTML or images documents (where/how)
  • Add character symbols
  • Spellcheck a page

Page Actions Tool Bar

  • Edit a page
  • Edit/add properties to a page (keywords, description)
  • Preview a page before publishing
  • Link check a page (for validity of links)
  • Revert to a previous version of a page
  • Back up a page
  • Use the version control system in OmniUpdate

Web Services

Web Services will provide support to their administrative and academic department and program clients for the following:

  • New Web site design and production
  • New user accounts for Web sites
  • Consulting/client relations (new Web sites)
  • Quality assurance

Application Support

  • OmniUpdate
    • Invoke functions on Dartmouth's OU WYSIWYG editor tool bar (for example, anchors)
    • Changes to the right-hand column, header, and footer
    • OmniUpdate error message inquiries
    • Login problems
    • Move, delete, rename files
    • Publish a page, schedule a page for publishing, send a page to another user, send a page for approval*
    • Insert/edit anchors*
    • Create/edit tables*

Information of Value

As you consult with users on the use of OmniUpdate, please be aware of the following information:

  • Differences between the Staging server and the Production server, and staging.dartmouth.edu
  • Difference between a checked in and checked out html file
  • Difference between full screen and split view screen
  • Paste content from an outside source into OmniUpdate: Always use the Paste as Plain Text command
  • File naming rule: Only characters allowed in naming files, documents, and images are lower-case letters, numerals, hyphens, and underscores (for example: house.jpg, new-edition.html, issue3.html; not Blue house.jpg, New Blue.htm, new document_forGreater understanding.doc)
  • Anchors are acceptable on Web pages; send requests to Web Services
  • When creating folders, two pages must always be created: the index page and the section path (the section path must be published before being active)
  • Images are uploaded to the /images/ folder on the Production server
  • Documents are uploaded to the /docs/ folder on the Production server
  • If someone tries to log in to OmniUpdate more than three times and fails, the account is locked. They need to contact Web Services to have it reset.
  • If you work with a department that you feel could use some OmniUpdate training, please ask them to contact Marie Stebbins
  • If Web pages on a site are checked out by someone and another person needs access to that page, they must contact the person who has it checked out and ask them to check it back in. As a last resort, Web Services can check the page back in.
  • Remedy tickets for the Webmaster should be sent to Web Services. Web Services will forward to Webmaster.
