Folders Window

BlitzMail allows you to file messages into mail folders. Clicking the Folders icon from the column on the left side of the BlitzMail window opens the BlitzMail Folders window.

Three predefined folders are provided: The In Box, Sent Msgs, and Trash. These folders cannot be removed. The In Box and Trash folders hold newly arrived mail and mail that you have discarded, respectively. The Sent Msgs folder retains a copy of all the messages you send for a certain period of time (initially seven days).

Creating and Managing Folders

You can create new folders to meet your organizational needs. The illustration above shows folders to hold messages you want to keep for a long time and messages about meeting minutes. All messages are stored on the central mail server, no matter which folder they are filed in, so you can read your filed messages from any computer at any location. Also, to use Dartmouth's spam filtering system, you must create a BlitzMail folder to receive the spam filtered e-mails. For instructions on setting up spam filtering, see SpamAssassin.

You can use the BlitzMail Folders window to create new folders, delete existing ones (except for the predefined ones) and change expiration intervals. Here are some tips:

  • To open a folder, double-click its name in the BlitzMail Folders window or select the folder from the Folders menu in the Main Menu bar.
  • To move a message from one folder to another, drag it from window to window, or drag it from your In Box to the icon in the "Blitz" bar that looks like a filing cabinet; a pop-up menu will appear. You can select the desired folder from the menu. You can also open the message and select a folder in the drop-down box at the bottom of the message window. On a Macintosh, Option-dragging moves a copy of a message to the destination folder; the original message remains in the other folder. Windows users can right-click on the message they want to move and select the desired folder from the pop-up menu. Or they can drag a copy to the desired folder as well.
  • A copy of a message will always be saved in the Sent Msgs folder. You can save an additional copy of the message directly to a folder by selecting one in the pop-up menu at the bottom of the message's Composing window. The illustrations below show how the pop-up menu can be used to save a copy of the message in the Director's Minutes folder. When the message is sent, the copy will be saved in the second folder.

  • Each folder has an expiration interval (see illustration below). When a message is moved into a folder, it will expire after that period of time. The expiration interval for the Sent Msgs folder is initially set to seven days, but you can change it if you want. If a message is left in the In Box, it will never expire. Depending on the version of BlitzMail you are using, the expiration date in the In Box will either read 2/6/40 or never.

You might, for example, set your Trash folder to have an interval of three days, and your Long Term Storage folder to have an interval of six months. That way, deleted messages will be removed automatically after three days, while Long Term Storage messages will stay on the server for six months. To change the expiration interval for the Long Term Storage folder, select the folder's name in the BlitzMail Folders window, and click on the Expiration button. A dialog box like the one shown below will appear. Enter a number and select the time interval from the pop-up menu as shown.

Note: The expiration interval specified for a particular folder applies to that folder only. The expiration date of messages added to a folder will be changed to reflect the expiration interval of that folder. For example, if you moved a message on 2/28/08 into a folder whose expiration interval was six months, the message's new expiration date would become 8/28/08.
