Computer Assurance Program

The Computer Assurance Program was implemented in fiscal year 2002-2003 to provide a stable work environment for departments. It is managed jointly by Dartmouth Computing Services' IT Support Center and The Computer Store. What Are the Benefits of the Program?

  • Computer Assurance Program computers are delivered with all the standard software installed and configured. A Computer Store technician, working with the department's computing consultant, will transfer the user’s data from the old computer to the new computer and get the new computer set up and operating on the user’s desk. It will be configured as close as possible to the way the old computer was.
  • Lenovo and HP computers come with a four-year warranty; Macintosh computers come with a three-year warranty.
  • If there is a problem with a Computer Assurance Program machine, the machine does not go into the regular repair queue. The Computer Assurance Program repair queue has a 24-to-48 hour turnaround from the Repair Shop, depending upon parts availability.
  • Dell and HP machines in the Computer Assurance Program computers are replaced approximately every three-and-one-half years; Macintosh computers in the Computer Assurance Program are replaced approximately every three years. When the new machines are delivered, the old machines are removed, so the departments do not have to worry about disposing of them.
  • Computer Assurance Program computers have the LANDesk Management Suite on them which allows Computing Services to access and maintain the machines remotely, including automated installation for updated applications and system software.
  • If a Computer Assurance Program computer becomes compromised due to viruses, etc., the computer can be quickly re-imaged, reducing the down time for a user.
  • Computer Assurance Program computers are standardized across all departments. If a department wants something other than what is available in the Computer Assurance Program, they will need to provide additional funds to make the change. When the computer is due to be replaced, the upgraded components the department purchased will become the possession of the Computer Assurance Program (e.g., if they pay the difference to upgrade the monitor to a larger size, the monitor that is with the Computer Assurance Program machine is taken with the computer at the end of the three-and-one-half year period). The department will need to pay additional money again to get a larger monitor with the new computer. The department can, however, choose to purchase their own monitor, separate from the Computer Assurance Program, and then keep that monitor at the end of the period. In the last example, a standard monitor will still be delivered with the computer, so the department will be responsible for returning that standard monitor when the computer is returned at the end of the cycle.

What Equipment Is Included as Part of the Program?

This depends on what your department has transferred the funds for. There is a standard desktop model and a standard laptop model for both Windows and Macintosh computers.

The current configuration for the Windows desktop model is:

  • HP EliteOne G1 800 All-In-One

The current configuration for the Windows laptop model is:

  • Dell Latitude 14 5000 Series

  • 14.0" HD+ (1600x900) Anti-Glare WLED-backlit intergated Camera
  • 8GB of RAM
  • 500GB Solid State Hybrid Drive
  • 8X DVD+/-RW Optical Drive
  • Intel® Dual Back Wireless-AC 7260 802.11AC Wi-Fi + BT 4.0LE Half Mini Card 

The current configuration for the Macintosh desktop model is:

  • iMac 21.5inch
  • Intel Quad-Core i5 2.7GHz
  • 8GB 1600Mhz DDR3 SDRAM – 2X 4GB
  • 1TB Serial ATA Drive
  • Intel Iris Pro Graphics
  • Apple Keyboard with Numeric Keyboard
  • Apple Magic Mouse

The current configuration for the Macintosh laptop model is:

  • MacBook Pro, 15-Inch Retina
  • 2.6GHz Quad-Core Intel i7
  • 8GB 1066Mhz DDR3 SDRAM 2X 4GB
  • 512GB Flash SSD Storage
  • Backlit Keyboard
  • Thunderbolt to Ethernet Adapter

Note: Some departments opt to change certain components of a user's configuration. If this is done, there will be an additional charge to the department.

How Can a Department Join the Program?

Departments at Dartmouth are encouraged to participate in the Computer Assurance Program.

  • Departments that join the program during the fiscal year need to request a permanent budget transfer of $300 for each HP desktop, $475 for each Dell laptop, $610 for each Macintosh desktop, and $860 for each Macintosh laptop they want in the Computer Assurance Program. In addition to purchasing a new computer every three to three-and-one-half years, this money also helps to defray costs for the operating system upgrades, LANDesk server, licenses, and the LANDesk system administrator. The rates for departments joining in future years may change.
  • The cost to upgrade from a Windows desktop, that has been in the Computer Assurance Program, to a Windows laptop is a permanent budget transfer of $175.
  • The cost to upgrade from a Windows desktop that has been in the Computer Assurance Program to a Macintosh desktop is a permanent budget transfer of $310.
  • The cost to upgrade from a Windows laptop that has been in the Computer Assurance Program to a Macintosh laptop is a permanent budget transfer of $385.

How Does the Replacement Cycle Work?

When a department's computers are due for replacement, their computing consultant will contact and work with them to fill out the appropriate form. A form must be completed for each computer to be replaced. Once the forms are completed and delivered to your computing consultant, and budget money has been transferred, if applicable, the equipment will be ordered.

Once the equipment arrives, the computing consultant and a technician from The Computer Store will then schedule a time with the department that is convenient for them. Each user's data will be transferred to an external source, the new computer set up on the user's desk, their data transferred back from the external source, and additional configurations made that are specific to that user's requirements. The computing consultant will then show the user the features of the new computer, installing any applications that are unique to the user, making sure they know where all of their applications are located and that they are functioning, that their peripheral devices work, etc.

Computers in the Computer Assurance Program will be disposed of through the program and are not available to the individual departments once they are replaced. They also cannot be disposed of in any way by the department.

Departments that cannot locate a Computer Assurance Program computer at the time it is due to be replaced will be responsible for full replacement value of the computer.

Are There Other Fees Involved?

Windows computers come with a four-year warranty that includes "CompleteCare", so most repairs are covered. Macintosh computers come with a three-year warranty that only covers manufacturer defects. Any hardware problems that are caused by the user/department are not covered under the terms of this warranty and the department will need to pay for these repairs.

Repairs not covered by the warranty that are the result of normal operation are covered by the Computer Assurance Program.

Repairs not covered by the warranty and that are the result of inappropriate care by the department are the responsibility of the department.
