Under normal circumstances, employee and student accounts are set for expiration 30 days after termination, graduation, withdrawal, or when on leave term for two or more consecutive terms. Students who are suspended will have their accounts deactivated immediately.
A warning message is sent to all normally expiring accounts 30 days prior to the deactivation date. You will receive an e-mail notification that the account expiration date has been set, and each time you log in to your account during the two weeks prior to deactivation, you will be reminded of the expiration date. This gives you time to contact Human Resources, your appropriate registrar's office, your organization's advisor, or your sponsor to have your account renewed, if necessary. If you are, in fact, no longer affiliated with Dartmouth, you can use this time to forward important messages to another e-mail account you have established elsewhere. Accounts can not be extended past the expiration date.
When you are getting ready to leave the College, we recommend you set a vacation message on your account that is automatically sent to anyone who sends you mail. This is a good way to inform people that you are leaving or are no longer at the College, to indicate to whom College-related business messages should be sent in the future, and what your new e-mail address will be, if you will have one. These vacation messages only work until your account is deactivated.
Deleting individual e-mail accounts prior to the expiration date is done only at the request of the departing individual, or due to a personnel issue by Human Resources or an appropriate Dean.
Organization and supplemental departmental accounts must be renewed annually. This allows us to verify that the account is still necessary and the organization is still active.
Sponsored accounts will expire at the end of the agreed upon period. In order for an account to be extended, a new Sponsored Account application must be completed and submitted to the IT Service Desk (Help Desk) or your department's IT support office. It is the responsibility of the Dartmouth sponsor to submit the request for renewal of a Sponsored account.
